Hi,

I have created a document library for storing documents. I have also
switched on “generate versions” and “content approval”

User1 uploads a document and it cannot be viewed in “All Documents” as it is
in a pending state. If User1 clicks on “My submissions” the document is
visible. This is what I expect to see.

However, all the users of the document library (they have contributor
rights) can simply click on “explorer view” and all the documents regardless
of their state are visible and can be modified. Is there any way this can be
switched off as we don’t want documents to be visible until they have been
approved.

I work in a hospital and this could cause serious problems if staff start
using documents about drug doses etc. that haven’t been approved. Users will
need contributor rights as they will also be required to submit documents
from time to time.

If anyone could provide information on how to stop documents being viewed
and edited until approved that would be appreciated.

Thanks for your help

To get rid of the Explorer View, go to your All Documents view, then click
Modify Settings and Columns from the left side nav bar. Scroll down to views
and select Explorer, you are then given the option to delete that view and
thus users won't be able to get to the view.

Shaun,

One option is to check out the document while in the process of approval.
The person that submits the document or the person that has to approve the
document will have to do this additional task.

Our company provides a workflow product, Procx, that has SharePoint tasks
like check-out and check-in of a document that you can use inside the
process so you can control these type of things. I recently publish an
article about these SharePoint capabilities in:

http://businessandprocess.com/archive/2005/11/07/167.aspx

You can find more information about our product at:

Dear all,

Although diabled the explorer view, any user with access right to the
doclib, can still read un-approved docuemnt via connection from MS
word, MS excel, etc....
Are there any way to disable these connection also ?

Million Thanks
