Hiding Document libraries |
|
|
We have program which creates a document libraries. The document library has
view permissions for our team, admin rights for the administrator and
contributor rights for the user who created it.
Each created library appears in the Quick Launch bar, but all users can see
(but not access) the document libraries of all other users.
Our users do not necessarily want it known to others which libraries they
have created, and they do not want to scroll down a list containing hundreds
of libraries to find theirs.
I would like to restrict quick launch and document library lists to only
display the libraries on which the current user has any kind of permission
(View, contribute or admin).
Is this possible? |

(We're in the WSS part of SPS 2003 I presume)
Document Libraries are either listed in Quick Launch (you specify when you
create them) or they are not.
Users with rights to access the page where you have this Quick Launch will
be able to see all the document libraries listed.
You could create different sites for the different user groups and in that
way the document libraries listed in the Quick Launch section for those
sites would be only those users' document libraries.
You might then need to have common documents in a top-level site with other
documents in those "user" sites.
That would be one way to do it. Otherwise consider different Link Lists
(authentication!) where you again (but now added manually) only have links
for different document libraries. You could have for instance if you wanted
a link to those different link lists on your main default.aspx if you didn't
mind users seeing what other user groups are around.
There are probably other ways of using Link Lists too.

Thanks Englebert, but I don't think your suggestions are practical. At the
moment I have 3 types of user (and admin). With the document libraries user
group 1 can only view or edit document libraries that they created, type 2
users can view all document libraries but not edit. There may be 500 type 1
users, each with a handfull of doc libs. Is it practical to create 500 pages,
each shared with the creator and all Type 2 users?
Is it possible to filter the 'Documents' list by access? It is simple to
stop Doc Libs being surfaced in Quick Launch.

As Engelbert noted:
1. It is not possible to filter the "Documents" list by access
2. When you create a document library, you can choose to not have it listed
on the quick launch list. For libraries that are already listed: Modify
columns and settings > Change General Settings > Display this document
library on the Quick Launch bar? = No
Two 3rd party options that you might consider:
www.corasworks.com Workplace Explorer and www.thedotnetfactory.com
SharePoint Explorer offer alternatives that show a user a list of just those
sites/lists/libraries that they have access to.
