Phone Messages with Outlook/Exchange |

I recently migrated a customer from Goldmine to
Outlook/Exchange. For the most part they are settling in well with the new
setup and are adapting to the differences. However there is one
feature/function of Goldmine we have not been able to find a work around. In
the past when anyone in the office received a phone call from a client for
another person in the office, they would simply create a phone log entry and
assign it to the other person. When the other person came back to there
computer they would be notified of the call and could take whatever action
was needed.
I had assumed we would do this via the task function, since it can be
assigned to other users. However it seems you are limited on what you can
configure in a task you are assigning. Basically it appears that although
you can setup due dates, you are not able to configure alarms which would
notify the person he/she has a new task to act on. In their busy office, it
is critical that there be some notification or alarm when a phone call
message is sent to other staff members.
What would be the best way to setup Outlook/Exchange to allow employees to
take phone messages for other employees and pass the information on to them,
in a way that they are notified automatically? |

With Outlook, you have to send an email.
Have a look at this third party application, it's great for managing phone
messages.

I use a free custom Outook form for this - so that the phone messages appear
in the recipients' Inbox.

Yeah, I've looked at that too. It's OK, but iWYWO is a bit different. It has
it's own database, once you have the name and number in there once taking a
phone message again from the same person can really wow them - you already
know their phone number(s) :-).
*and*, you can see who is picking up their messages and who is not. And take
appropriate measures. It's a great tool for receptionists.
