Hi,

we're currently running SPS 2003 in a SQL Server located in the same server.
We're using 15 out of 25 Gigabytes of Hard Disk space.

We're thinking of enabling Version History in SharePoint 2003, but we don't
know if it will be a problem in terms of HD space.

The question is, does Sharepoint stores a whole version of the document each
time the document is saved? So, if for example, I have a document that I
save, quit Word, then modifie, Save again, quit word etc... does SPS each
time SPS stores a complete version of the document?

or does SPS saves only the changes made to the document?

You can easily check this for yourself.

Go to http://<servername>/_layouts/1033/storman.aspx with server
Administrator authentication and find the size of a doc lib that has
versions set.

Add a document. Refresh the page and see the difference.

Slightly amend the document and re-save it. Refresh the page again and see
the new difference.

If they are the same difference ...

Hi,
Yes, each version is saved completely. Depend of the number of documents and
versions, you can have space problems in your DB and file system and/of the
SPS server (for the indexes).

Hi,

At your scenario, the hard disk is really one problem is to enable the
version history. For each modification on the document using version
history, SPS/WSS will store the predecessor in the database. Then for 16mb
size doc, the database will boom quickly.

Furthermore, I'd suggest this portal server capacity article will introduce
more information for you on the portal administration. It lists the
recommended disk size for different scenario:

admin interface...

Do you know any link that explains briefely the admin SPS interface?

SPS 2003: Site Settings / Manage Security and additional settings / Manage
Storage Space Allocation.

(Slightly different in WSS but the same end page)

... and in case you didn't know it just keeps on creating new versions. You
can't tell it to stop at 10 (say).

Is there ANY way to limit the number of backups kept? Will this be added to
a future version of Sharepoint? It would be very useful to keep say 5 or 10
backups only. On my site I would like to keep some backups, but a few fairly
large very often used files cause the site size to balloon. You can manually
delete old backups but this is labor intensive...

As I know, no one restriction is performed to limit the backup copies. So I
think we could only use the site quota to limit the storage size. This
admin article introduces more info regarding this issue.
