Why is it that the first few areas/subareas i created ended up in the root
of our portal and now they are going into c1, c2, c3 etc?

I am trying to figure out the best strategy for allowing site creation by
users, specifically for meetings. I was trying to create locations
http://ourportal/meetings/sales etc but this seems to be impossible now.

Any suggestions for how to organize locations for user created sites are
appreciated.

This is done for performance reasons (and it can be a pain at times). Would
WSS Sites work for you in this case?

Yes i suppose so.

I am still trying to get my bearings with much of this so perhaps you can
give some suggestions.

We have sharepoint portal server and project server (on another port) on the
same box.

We are encouraging meetings and such to have "workspaces" created by the
users. I want the workspaces to be automatically registered in SPS and
searchable. I thought that I should have a "proper" place for all meeting
workspaces to live so other areas don't get cluttered.

Any ideas on this and how to ensure that SPS knows about them are
appreciated.

Create a stand-alone site collection called Meetings. Then create your
meeting workspaces here.

I recommend against using the portal for collaboration. It is not scalable,
for a number of reasons, IMHO, and you're bumping into one of those reasons.

We are a small company (<20) but we have already realized that sharepoint
sites can quickly get out of control.

Can you clarify what you mean by not scalable? How would you suggest that we
find and organize data?

Also, is a site collection any site that has subsites or is it only a top
level site? And how do you create one from Sharepoint Portal Server?

Well, we find that team sites in site collections lend themselves better to
collaboration than doing it in the portal. Besides, you can't create a new
team site in the portal easily.

The scalability issue is illustrated in your first question, the C1, C2
bucket web question. Portal is best suited, IMHO, to organize, aggregate and
present static information that is of interest to the enterprise.

You know, if you have long-range design questions, you should consider 4
days in frigid Minnesota. It would be well worth your while. It would take
pages to really answer your question.

I'm not sure if i missed the answer but why was I able to create a few sites
then it started creating c1, c2, etc?

Aren't areas really just sites anyway?

I guess i am failing to see the deal breaker that will compel us to
reconsider the design structure... I am open to it mind you, i just don't
understand the shortfalls yet.

Bucket webbing, my friend. Under the hood, the portal team only allowed 20
sites per site collection, so once you get over 20 sites in the initial site
collection, a new site collection is automatically started, called C1. The
next site collection is C2 and so forth. While it visually appears as a
single portal, it is multiple site collections under the hood.

I'd suggest you pick up a copy of the SharePoint Products and Technologies
Resource Kit. Answers to questions like this are found there. And the
answer is not a 2-3 sentence answer either.
